Cal Poly is currently contracted with Ventura Printing to meet the University's off-campus mailing needs. As a full service mailing house, they are equipped to handle all aspects of large scale non-profit mailings. To facilitate efficient interaction with the campus community the following sections detail the list of services; advantages to using; and references for Ventura Printing, as well as provide helpful tips for preparing your mailing.

Advantages To Using Ventura Printing

No arrangements need to be made for postage prior to mailing. By providing a department chartfield string, Ventura Printing directly invoices the University.

Services and postage are invoiced directly into the University payment system using the department chartfield string (fund, dept. id, class, project) you provide. Direct invoicing eliminates the need to make arrangements for postage prior to mailing and the need to process paper invoices.

Set pricing is competitive with other mailers.

Consulting services provided by Ventura Printing help you to design your mailings in a way that meets postal requirements and saves postage.

Mailings are entered at the USPS sectional center in Goleta leading to a per piece postage rate that can be as much as 4.2 cents lower than mailing at your local postal facility.
- A system has been established for transporting your mailings and excess materials between Ventura Printing and Distribution Services at Cal Poly.
Tips To Ensure Your Mailings Are Processed Correctly
- Always consult with Kay Baker, the USPS design analyst in Goleta , or Leslyn Franzen, the Cal Poly representative for Ventura Printing, in all stages of your project's development. Their expertise is vital for the following reasons:
- Proper design ensures that your mail piece is able to be mailed and can be mailed with the best possible delivery and lowest postage.
- Making sure your mail piece can be processed using automated equipment rather than by hand fulfillment will save time and money.
- Having your mailing list reviewed, cleaned up, and updated for change of address will save print and mail costs.
- Cal Poly has arranged to have all departmental mailings entered at the Goleta USPS facility as a non-profit using Ventura Printing's permit. The permit is not required to have a box around it and can have a font as small as 9pt. The permit can be no smaller than ½” by ½”. Visual examples of the more prominent permits are provided below:

When using the Cal Poly permit, the USPS requires that the return address on your mailing piece have “ California Polytechnic State University ” on the first line. The department or organization name can be placed on the second line of the return address.

Mailing endorsements (i.e. address service requested) must be a ¼ inch away from the permit and have set areas for placement on a mail piece.

When using an alternate printer to produce your mail piece, please make sure to have your product shipped directly to Ventura Printing. Expect additional delivery time and charges when using Cal Poly Distribution Services to transport your product to Ventura Printing.

Material produced on campus should be taken to Distribution Services for transfer to Ventura Printing. Delivery charges are reasonable and can be determined by contacting Ventura Printing's Cal Poly representative. An e-mail must be issued to Ventura Printing and Frank Limon in Distribution Services to alert all parties to an impending pick up.

Lists and any documents that will be used by Ventura Printing to produce your mailing should be e-mailed as an attachment to dp@venturaprint.com with your Ventura Printing representative as a CC. The subject line should clearly mention Cal Poly and the department responsible for the mailing. Large or sensitive files can be transferred via the Ventura Printing FTP site.
- Do not consult Ventura Printing when complete and addressed mail pieces that are only in need of postage. This service is provided through Distribution Services in conjunction with Postage One. Postage One is solely responsible for daily metering of campus mail.
