Mail Center Services

It is the mission of the Cal Poly Distribution Services to provide timely, accurate, and cost effective mail service to the campus community. To assist us in assuring that this service remains efficient, we have prepared these guidelines to assist you in preparing material to be mailed. In addition, the guidelines provide information regarding our services and ways to attain the most cost-effective use of services provided by Distribution Services and the United States Postal Service.

Services Provided By Distribution Services

Policies on the Use of Mail Service

In accordance with Campus Administrative Procedures (CAP), the services provided by Distribution Services are for delivery and pickup of official university mail, parcels (i.e. UPS, FedEx, DHL), and interdepartmental correspondence only. Non-University related items and/or personal items are not to be sent to Cal Poly and may be refused by Distribution Services.

Outgoing personal mail should not to be directed through the Distribution Services. Such mail will be returned to the sender if the origin can be determined without opening sealed envelopes.

For your convenience in mailing personal mail, the United State Postal Service has provided letter boxes in four locations on campus: on the corner of Perimeter Rd. & Cuesta Ave. across from Building 124, in front of the Administration Building, accross the street from the Library, and at the parking permit kiosk located at the entrance to campus on Highland Ave. Please redirect any personal mail currently being received on campus to your home address.

Official outgoing mail is to be bundled by the department prior to pickup by Distribution Services Staff into the following categories: local/out of town, campus, or foreign/overseas.

One delivery and pick up run is made to each department daily beginning in the afternoon.

For campus departments wishing to have flyers, handouts brochures, etc., distributed to all campus staff and faculty, the issuing department is responsible for the bundling of all items into a single departmental mailing (see policy 'CAP 302.4.6'). The Distribution Services web site provides the number of employees within each department for this purpose. Each department package should be bundled and appropriately identified.

Recharges, Accounting and Budgeting For Postage

Recharges and the General Fund Budget Allocations:
Postage costs for all outgoung mail will be recharged to the initiating department or activity.
